What you need to know
- You can use the Tasks App to stay organized internally (by assigning tasks to internal users) and to assign tasks to clients/companies. The four default views — “My tasks”, “My team’s tasks”, “Client tasks”, and “All tasks” — make it easy to switch among different working modes. In addition, the “Filter by assignee” button lets you see what tasks a particular internal user, client, or company has.
- The Tasks App comes with integrated notifications:
- Internal users see notifications in the notification center. They are notified when (1) they themselves are assigned tasks and also (2) when clients/companies they have access to mark a task as done.
- Client users receive email notifications when tasks are assigned to them. In addition, the Tasks App on the sidebar will show a notification count that represents the sum of all tasks that are not yet marked “Done”. For example, if a client has 2 tasks that are “To Do” and 1 tasks that is “In Progress”, on the sidebar there will be a 3.
- If you have companies enabled in your workspace, you can assign tasks to either the client or company. When you assign to a company, all associated clients are notified and can see the task. Any of the clients can mark the task as Done.
- Other features to note:
- Internal users can switch between kanban and list views. You can drag & drop tasks among statuses in both views.
- Client users have a single view that’s a modified list view with a prominent “Mark done” action, so that they don’t navigate to the task details view.
- Client users can click into a task to see task details. From here, they can also change the status to ‘To do’ or ‘In progress’
- Tasks descriptions support rich text. Just type “/” to open the formatter.
- You can use due dates to communicate urgency for tasks. Due dates show in red when they are overdue, but we do not yet have additional notifications for overdue tasks.
